Team rotas & the volunteer portal

Who serves on which dates — one table per quarter across every team, with an auto-planner.

  • The auto-planner drafts the rota and explains every single assignment.
  • It respects blockouts (including annual ones, like every July), pauses, a monthly cap and weekday masks.
  • It balances load and skill level, and shows which slots it could not fill.
  • Nothing is saved until you accept the draft; already-accepted invitations are left alone by default.
  • How many people each position needs — a team default and a per-date override; zero switches the position off for that day.
  • A ministry leader plans only their own team — other rotas are visible but not editable.
  • “My serving”: a personal password-free link — the volunteer accepts, declines and files their own blockouts.
  • Per-person serving stats — who is burning out and who has not served in months.

Kids ministry

Classes, lessons and attendance — a module of its own, not “a group with children in it”.

  • Age-banded classes with rooms.
  • A warning when the teacher-to-child ratio goes out of range.
  • Class rosters: a child belongs to exactly one class.
  • Lessons with a topic and a passage reference (e.g. “Luke 10:25–37”).

Gatherings, sermons & songs

What actually happens inside a gathering, who preaches — and what the band plays.

  • Gathering series: Sunday, youth, prayer — each runs as its own series, created from a template for months ahead.
  • No gathering without a template; if there is none yet, a starter template is offered right away.
  • Service plan: order, roles, timing, and a history of past gatherings.
  • A “whole gathering at a glance” board: who serves in every team and where people are missing; clicking a date opens the plan without leaving the page.
  • Sermons: who preaches on which dates, topic, passage and length; see who has not preached in a while.
  • Worship blocks: say how many songs you need now, fill them in later.
  • A catalogue of over 40,000 songs, nearly all with chords; search by title and language.
  • Transpose to a voice, capo, Nashville numbers, German/English notation; a part for every instrument.

Meetings, minutes & voting

Member meetings and councils — with quorum, a secret ballot and minutes nobody can rewrite after the fact.

  • An agenda with speakers; a meeting can be tied to a ministry — the worship-team meeting is visible to that team.
  • Quorum is computed from a snapshot of the member roll on the meeting date — later roster changes never rewrite it.
  • Voting right inside an agenda item: yes/no or multiple choice, simple majority or two-thirds.
  • The voting circle is the meeting, the whole membership, or one group; people vote from their own “My serving” screen.
  • Secret ballot: the link between a person and their vote never exists in the database — only participation is visible.
  • A meeting shows up in the calendar and in “My serving” for everyone it concerns, with an “I’ll be there / I can’t” reply.
  • Approved minutes freeze; decisions become tasks with an owner and a due date.
  • Paste a text transcript of the meeting — AI drafts the minutes and the action items; the secretary saves them (Pro).

Finance

Full church finance — with multi-currency, campaigns and reports.

  • Accounts in multiple currencies; configurable base (reporting) currency that re-bases history.
  • Income/expense, categories and FX rates.
  • Budgets by category with progress tracking.
  • A yearly budget plan by month — amounts in currency or as a percentage of income (“10% to missions”).
  • Line items in a single operation: a shop receipt is split into rows, and each row lands in its OWN budget line.
  • Money requests: a minister asks for funds with an itemised breakdown; the finance team approves (optionally a smaller amount) and pays out — the payout becomes a real expense in the ledger.
  • Transfers between accounts and funds never inflate the stats: balances count everything, turnover counts only real money.
